Set Resource Calculations
Prerequisites
- Either define the applicable Rate Groups or verify the required Rates Groups have been defined in the assigned rate structure. See Add Rates. The assigned rate structure determines the available Rate Group dropdown selections.
- Configure the set of calculation results for the resource structure. See Configure Resource Results.
- Define the detail level resources. These are the resources assigned to the work packages in the main EVMax window. See Add Resources.
- Select in the Navigation Menu. The Manage Resources tab window displays.
- Click on the dropdown in the Ribbon Menu and select the resource structure you want from the list.
- Select the Resources tab. The left pane displays a grid view of the resource hierarchy.
- Expand the resource hierarchy as needed.
- Select the detail resource you want in the left pane. Click at the bottom of the middle Calculations pane. The Select Results dialog box displays. A list of the Available Results displays in the left pane of the dialog box.
- Select a Result you want to include in the left pane of the dialog box. Click the right arrow to add it to the list of Selected Results in the right pane of the dialog box. Repeat this step until you have selected all of the applicable results for the selected resource.

Click . The middle Calculations pane is now populated with the selected results. As applicable, the settings from the Configure Results tab carry over to these results. Where the Result name and a Rate Group match, the Rate Group assignment is auto populated. Rate Groups assignment typically auto populated include FTE or common overhead rates. The Currency column is automatically set to "True" or "False" based on the settings from the Configure Results tab.
Tip:
To delete a Result row, select the row and click . You can click at any time and select other results to include in the middle Calculations pane.
- As needed, change the order of the calculated Result rows in the middle Calculations pane to match how rates should be applied. Typically, the first row is the FTE result, the second row is the labor hours result, and the third row is the direct cost result. Subsequent rows should reflect the order overheads or fees are applied to the direct costs. Select the row you want and then click or to move the row to the desired position.

As needed for each Result row, select the assignment from the dropdown. These are auto populated for common calculations such as FTE and overhead rates that are set in the Configure Result tab. Resource specific rates such as labor rates may need to be set. Where a resource name and a Rate Group match, the Rate Group assignment is auto populated.
Tip:
You can assign more than one rate group to a result. For example, perhaps you have different rates for a labor resource depending on their location. In the dropdown list, click on the check box at the beginning of each row to select the rate group that may apply for the resource. Once you have selected all of the applicable rate groups for the result, click OK. Should you assign more than one rate group to a resource in the Manage Resources tab window, you will need to set a single rate group assignment to use for calculations when you assign the resource to a work package.
- Set the calculations for each Result row. Begin at the top of the list of results in middle Calculations pane. The steps for a labor resource are as follows.
- Select the FTE result row. The Rate Group should be set to "FTE" or equivalent. FTEs are a calculated result. The result list in the right Sources pane is empty.
- Select the HOURS result row. The Rate Group should be blank. A rate group assignment isn't needed because hours are typically entered as the base value. The right Sources pane lists the FTE row. It should be unchecked.
- Select the DOLLARS (or equivalent result name for direct cost values) result row. The Rate Group assignment should be the applicable labor rate for the resource. In the right Sources pane, click the HOURS result. The resulting calculation displays at the bottom of the middle Calculations pane: (HOURS) * Rate.
- Select the next result row in the sequence. For example, this may be a labor overhead that is applied to the direct cost. In the right Sources pane, click the DOLLARS result. The resulting calculation is set to: (DOLLARS) * Rate.
Continue with the rest of the result rows. For example, perhaps the last result in the sequence is the G&A overhead. It is applied to the sum of the direct cost (DOLLARS) and labor overhead (OVERHEAD). In the right Sources pane, click the DOLLARS and OVERHEAD results. The resulting calculation is set to: (DOLLARS + OVERHEAD) * Rate.
Tip:
You can also enter a custom calculation for a result row. Select the result row and click at the bottom of the right Sources pane. A Custom Calculation dialog box displays. The dropdown options are dependent on the calculation results selected for the resource and the position of the result row you selected. Click to include a selected result in the Expression section. Enter your custom calculation in the section and click . Use an * for multiplication actions.

Repeat Steps 5 through 10 as needed for each detail resource in the left pane.
Tip:
You can also copy calculation settings from one resource to another. This works best for similar resources with the same set of results. You may need to update a resource specific Rate Group assignment once you copy it over. See Copy Resource Calculations.
- Click in the Ribbon Menu.
- Optional. Close the Manage Resources tab.
